The Key to Success: Organization and Communication

Running a successful wedding venue requires far more than beautiful décor and a great location. One of the most important elements behind every flawless event is communication. As a venue that hosts more than 100 weddings each year at Oak Hills Reception and Event Center, we are often asked how our team manages so many detailed events so efficiently. The answer is simple: organization and communication through the Banquet Event Order (BEO) feature in the software Planning Pod.


Every wedding we host is completely unique. Couples customize nearly every aspect of their event, including guest counts, timelines, catering, floral arrangements, décor, seating layouts, entertainment, and ceremony details. Without a centralized communication system, it would be easy for important information to be missed. Planning Pod allows our team to organize all event details into one clear document that can be accessed by both staff and clients. This ensures that everyone involved in the event is working from the same information.

The BEO serves as the master guide for each wedding day. It is shared with our setup crew, coordinators, hosts, kitchen staff, florists, bartenders, maintenance team, and other event personnel. Couples are also able to review the document, which helps eliminate confusion and keeps expectations clear. Having a single source of information greatly reduces the risk of miscommunication and allows our events to run more smoothly.


At the top of every BEO is the event title and wedding date, such as “Jane and John – Saturday, May 23, 2026.” This simple heading immediately identifies the event and prevents scheduling confusion for our staff. The next section contains key planning milestones, including the booking date, consultation appointments, final payment deadline, final decision deadline, and rehearsal schedule. Tracking these important dates helps both our team and the couple stay organized throughout the planning process.

The BEO also includes detailed contact information for everyone involved in the event. This section lists the clients’ phone numbers and email addresses, along with contact information for outside vendors, DJs, photographers, and day-of coordinators. Easy access to these contacts is essential in case last-minute questions or emergencies arise during the event.

Another critical section outlines projected guest counts for each portion of the wedding. For example, the BEO may indicate 80 guests for the ceremony garden, 80 guests for cocktail hour on the deck, and 200 guests for dinner in the barn. This information allows our team to properly prepare seating arrangements, catering quantities, staffing, and venue setup for every stage of the event.


To further support our couples, we provide a digital toolkit within Planning Pod. This toolkit contains links to welcome guides, preferred vendor lists, production guides, design galleries, in-house services, and packing checklists. Providing these resources in one convenient location improves the client experience and reduces repetitive questions throughout the planning process.

One of the most heavily used sections of the BEO is the event timeline. This detailed schedule includes arrival times, ceremony start times, grand entrances, dinner service, speeches, dances, cake cutting, bouquet toss, bar last call, and the final send-off. A clear timeline keeps all departments coordinated and ensures that the event stays on schedule.


The BEO also includes ceremony production details such as music cues, processional order, and Spotify playlist links. Catering and bar selections are listed in detail as well, including menu choices, beverage packages, food quantities, and dietary restrictions. This allows the kitchen and bar staff to execute service accurately and efficiently.

Additional sections cover floral designs, cake inspiration, floorplans, seating arrangements, décor placement, and personal item packing lists. These details are especially valuable for setup crews and cleanup staff to ensure the couple’s vision is executed correctly and that personal belongings are safely returned at the end of the evening.


At the end of the day, successful weddings depend on clear and consistent communication. Planning Pod and its BEO feature allow our venue team to stay organized, reduce errors, and provide a seamless experience for every couple we serve.
